MICE in Bali: Planning Speakers, MCs and Interpreters

A lavalier microphone on a stand in an empty room, with no people in frame

MICE Bali programmes often treat speakers, MCs and interpreters as a detail to add after the resort, the dinner and the excursion are booked. That order makes the talent late. A meeting, an incentive and a conference do not use a host in the same way, and a keynote is not a welcome toast. Fees are on request and depend on the brief: the date, the city, the languages and the hours.

This note is for planners and DMCs building that programme in Bali. The island is one of the two places this directory covers. Start with events in Bali and the speakers list, and send the programme shape through the request. We match roles. We do not publish a person’s phone number, and we do not invent a result for a talk.

Where talent fits in a MICE Bali programme

Put talent on the same grid as rooms and meals. Mark the sessions that need a voice in the room: an opening, a working meeting, a dinner, a farewell. Mark which of those need a host, which need a speaker, and which need interpretation. A line that says “MC throughout” usually means three different jobs across three days. Split them before you ask anyone to hold the week.

Bali adds distance and weather. A morning in Nusa Dua and an evening in a villa are not one call unless the transfer is in the hours. A beach briefing is not a ballroom briefing. Say the venue for each block. A host or a speaker who can reach it, and who knows the format, is the match. The fee moves if the day becomes two calls or a different language.

What to decide before the creative

  • Which blocks are work, which are ceremony, and which are leisure.
  • The language of each block, including instructions.
  • Whether a talk has to change what people do afterwards.
  • Who on the DMC or client side may change the order.

Meetings and conferences

A meeting needs the next fact to be heard. The host opens, names the speaker, watches the time and closes. Conference and corporate MC, Bali is the role for plenaries, MICE groups and the gala if there is one, in English and Bahasa Indonesia. If the content is a talk with a point of view, book a speaker as well. Keynote speaker for international conferences is the role when the talk has to set the tone. Tell us the theme and the audience. We shortlist. The fee is on request.

Interpretation belongs here when the room does not share one language. Simultaneous suits a plenary that cannot double in length. Consecutive suits a board-sized meeting or a site conversation. Do not ask the MC to do both jobs on a full day. The interpreters list is separate for that reason. Send the agenda even as a draft. Terms are prepared before the session, not during the coffee break.

Incentive programmes

An incentive uses talent more lightly, and the slots are easier to overload. A welcome that explains the next two days is useful. A keynote squeezed between a temple visit and a dinner is useful only if the group is still meant to think. If the outcome is recognition, a short hosted dinner may be enough. If the outcome is a message from leadership, give that message a real slot and a rested room.

Languages matter more at the instruction than at the joke. Where to meet, what to wear for the evening, and when the coach leaves have to be heard by everyone who must act. A bilingual host can carry those lines. A speaker is a different booking. Describe the group in the brief: the languages, the pace of the day, and whether the talk is optional. We will not invent a crowd size or a score for the session.

Exhibitions

Some MICE weeks include a small exhibition or a partner showcase beside the conference. That stage is not the plenary. Visitors stand, demos repeat, and the host restarts. Match an exhibition host if that is the job, and keep the conference MC on the hall. Putting one person on both at the same hour does not work. If the showcase is only a hosted walk-through with no demo, say that. The scope is smaller, and the proposal should say so.

Sponsors will ask for stage time. Decide the rule before the host is holding a card they have never seen. A thirty-second thank-you is a host line. A product talk is a speaker. Write which one you sold.

Coordinating with your DMC

The DMC usually owns transfers, meals and the venue. The agency owns the match to a host, a speaker or an interpreter. Those two plans have to share one run of show. Send the DMC the call times we confirm, and send us the DMC’s venue and meal times. A speaker who lands as the bus leaves is not a talent problem. It is a grid problem.

Agree who speaks to the venue about microphones, a booth and power. If three companies each think they ordered sound, the first session is where you find out they did not. One owner is enough. The host and the interpreters should see the same order the DMC is using, including a weather plan for anything outdoors.

  • Share one run of show with the DMC, the host and any interpreters.
  • Put transfers inside the hours, not as a footnote.
  • Name the person who may change a cue on the day.
  • Keep leisure blocks free of talks unless the talk is the point.
  • Send languages and venues in the first request, not the last.

When the grid is honest, send it through the request form. Say which blocks need a speaker, which need an MC, and which need interpreters. The agency confirms availability and sends a proposal. Fees are on request and depend on the brief. They are not printed on the Bali pages or on the speaker roles. Personal contact details stay with the agency.

FAQ

When should MICE talent be booked?

When the dates and the main venues are held. A host or an interpreter added after the invitations go out is harder to match, especially in a busy Bali week.

Is an incentive MC the same as a conference MC?

Not always. An incentive host carries welcomes, instructions and a dinner. A conference host carries a clock and a list of sessions. Say which blocks you have.

Can the DMC book the speaker directly from a profile?

No. Profiles do not list personal contacts. Send the brief to the agency and we match candidates.

Are fees published for MICE programmes?

No. Fees are on request. They depend on the date, the hours, the languages and the roles you actually need.
