Event Organizer Bali: When to Book a Speaker

An empty conference table with a microphone, with no people in frame

An event organizer Bali teams work with, or a Jakarta team planning the same kind of week, should book speakers, MCs and interpreters when the dates are real, not when the creative is finished. The timeline below is a working order. It is not a promise that every date can still be filled at the last step. Fees are on request and depend on the brief: the city, the hours, the languages and the role.

Bali and Jakarta are the two cities this directory covers. Use speakers for talks, events in Bali and the Jakarta directory for the city, and send the hold through the request. Roles are not named people. We match a small set of vetted candidates and keep their contact details off the site.

Start with the brief an event organizer Bali can send

Write the event name, the date, the city and the venue before you ask anyone to hold a day. Say the audience and the outcome: a keynote that sets a tone, a host who keeps a gala moving, or interpreters for a session that must be heard in two languages. One paragraph is enough. A mood board is not a brief.

Separate the roles on paper. A speaker, an MC and an interpreter do not share a clock or a kind of attention. If you need more than one, list them. If you are unsure, describe the sessions and let the agency say which roles fit. Do not ask for “a package” and hope the scope is obvious. The same date in a Sanur ballroom and a Jakarta convention hall is not the same call.

What is enough for a first hold

  • Date, city and venue, or the shortlist of venues.
  • The role: speaker, host, interpreter, or more than one.
  • Languages and the format of each session.
  • Hours, including any rehearsal you want covered.

Shortlisting and availability

We do not send a public list of names for you to browse like a catalogue of faces. You describe the role. We come back with a short set of vetted candidates matched to the date, the city and the language, with a note on each. You choose. We then confirm that person is still free. A profile such as keynote speaker for international conferences is how you see the kind of talk, not a biography.

Availability is a date, not a feeling. Popular weeks in Bali fill with incentives and forums. Jakarta fills around large exhibitions and conferences. Ask for the hold when you hold the venue. If the date moves, tell us. A hold that silently shifts by a week is how two clients think they have the same person.

If you need a well-known name, say the type, or the name, in the request. We approach management where that is the job and tell you honestly whether that person is available. We do not imply a relationship that does not exist, and we do not put the name on a public page.

Proposal and confirmation

The proposal states the scope: who the role is, the city, the hours, the languages, and what is not included. A host who writes the script is a different scope from a host who delivers yours. Interpreters with a booth are a different scope from one consecutive meeting. Read that before you confirm. Fees are on request. They are not a number living on the profile, and they change if the scope changes.

Confirm in writing what you are agreeing: the date, the call time, the rehearsal if there is one, and who your contact is on the day. The talent’s personal contact is still not the channel. Changes go through the agency so the proposal and the person stay aligned. If you add a second city or a second day, ask for an updated proposal rather than assuming the first fee still fits.

Briefing and rehearsal

Send papers when they exist, and mark drafts as drafts. Speakers need the theme and the audience. Hosts need the run of show, the names and the pronunciations. Interpreters need the agenda, the slides and a glossary. A late perfect deck is less useful than an early rough one. Highlight anything that must be said exactly, and anything that must not be said at all.

Rehearsal is part of the hours if you want the person in the room for it. A launch, a gala with awards, and a plenary with a booth all benefit from one pass of the open and the first handover. A simple dinner welcome may only need a call. Say which you mean so it is in the confirmed scope, not a surprise the afternoon before.

Last-week checklist

  • Locked run of show, with languages marked on each row.
  • Final name list and phonetic notes.
  • Call time, entrance, dress and the person who may change a cue.
  • Equipment owner: venue, AV, or included in the proposal.
  • Weather or room-move plan if any part is outdoors.
  • A single channel for last changes: the agency, not a private number.

Use the last week to remove surprises, not to invent the programme. If a speaker, a host and an interpreter are all booked, they should be looking at the same order. Send that confirmation, and any late change, through the request thread you already opened. The speaker, Bali and Jakarta pages stay the map of roles. The fee remains on request, and it is settled from the scope you confirmed, not from a rate card on the site.

FAQ

How early is early enough?

When you hold the venue. Busy weeks in Bali and Jakarta need longer than a quiet date. A fortnight can work for a simple brief. It is not a rule that every role is still free.

Can we book a speaker, an MC and interpreters together?

Yes. List them as separate roles on one request so the hours and the languages are clear.

Will you name the person on our website?

Only if that person has agreed and the detail is not a private contact. Public profiles on this site stay as roles, without personal phone numbers or email.

Where are the fees?

On request. They depend on the date, the city, the hours, the languages and the role. They are not listed on the directory.
