Booking Speakers for Jakarta Convention Center Events

A conference at Jakarta Convention Center needs the programme decided before the names. Plenary halls reward a clear open, a small number of talks people can actually hear, and a host who is not also trying to be the keynote. Speakers, MCs and interpreters are booked as roles. Fees are on request and depend on the days, the languages and whether a talk is a keynote, a panel or a breakout.
The hall is in Jakarta. Use the Jakarta directory for the city, speakers for talks, and interpreters when a session has to be heard in two languages. Send the shape of the day in one request. We do not publish personal contact details, and we do not invent a speaker’s results.
Programme planning for large plenaries
A large plenary fails in ordinary ways. The open is too long, the first speaker starts late, and the breakout rooms were never given a host. Write the day as blocks: open, keynote, panel or papers, break, second block, close. Give each block a duration that includes the walk-on. A title on a grid is not a plan until someone owns the cue into the next block.
Leave a margin you can actually spend. A hall this size loses time at the doors, at a late minister, and at a film that will not start. If the published open is 09:00, the host and the booth need the room earlier, and the first speaker needs a holding place that is not the aisle. Write that call time down. A programme that looks neat on a slide will not survive a zero-minute changeover.
Decide what the plenary is for. If it is ceremony, keep the speeches short and put the working content in rooms where people can ask questions. If it is the working session, do not also load it with every sponsor line. The hall can hold a crowd. It cannot make a crowded script clearer.
Rooms besides the plenary
Breakouts need their own rule. Either each room has a chair, or the plenary host only opens the main hall and a coordinator runs the rooms. One voice cannot be in two halls. Say how many rooms are live at once when you describe Jakarta Convention Center in the brief.
Choosing keynote and session speakers
Start from the outcome. A keynote sets a tone for the whole event. A session speaker answers a narrower question. Tell us the theme, the audience and what you want people to leave with. Keynote speaker for international conferences is the role we match for that opening or closing talk, in English or Bahasa Indonesia. It is not a list of famous names. We shortlist speakers whose expertise fits, and the fee is on request.
If you need a subject expert rather than a keynote, use seminar speaker and resource person or the wider speakers list. Describe the topic in enough detail that we can tell a generalist from a specialist. We confirm availability before we send a shortlist. We do not claim a relationship with a public figure unless you have asked us to approach one, and even then we say honestly whether they are available.
Ask shortlisted speakers how they would adapt the talk. A deck written for another industry, with your logo dropped on the first slide, is not a tailored keynote. The outline should mention your audience. You do not need their personal phone number to have that conversation. It goes through the agency.
MC and moderator roles
The MC runs the frame: welcome, names, timing, housekeeping, close. The moderator runs the discussion: questions, panellists, and the point at which an answer has to stop. Conference and corporate MC, Jakarta is the hosting role for town halls, AGMs, conferences and launches. Panel moderator, English is the role when the panel itself needs preparation. Both can be requested together.
Give them the same run of show. The host should not summarise a speaker the moderator is about to question. The moderator should not invent housekeeping the host has already written in two languages. If the programme is in Bahasa Indonesia, say so. We also match Indonesian-language moderators. The language of the slides is not always the language of the room.
Interpretation booths
If the plenary is in two languages and the clock cannot double, book simultaneous interpretation. Interpreters work in pairs and rotate. Simultaneous conference interpreter, Jakarta is that role for English and Bahasa Indonesia. Booths and receivers are arranged with the venue or your AV supplier. We match the team. We do not pretend a host who greets in two languages has replaced the booth.
Consecutive interpretation suits a smaller room or a bilateral meeting, and it lengthens that segment. Say which sessions are which. A breakout that will pause does not need the same equipment as the hall. Send agendas and slides early enough that the team can prepare terms. A perfect deck that arrives as the speaker walks on is too late.
Booking timeline
- Hold the date, the hall and the languages together.
- Name the keynote outcome and the session topics.
- Decide host, moderator and interpreters as separate roles.
- Agree who supplies the booth, the sound and the receivers.
- Send papers as drafts, then the locked run of show.
- Rehearse the open, the first handover and the close.
Popular conference weeks in Jakarta are not filled the week before. Send the timeline through the request form. Say whether you need a speaker, a host, interpreters, or all three. The agency confirms availability and sends a proposal. Fees are on request. They move if the days, the languages or the number of rooms move. Profiles do not list rates.
FAQ
Should we book the keynote before the MC?
Book the date for both when you book the hall. The keynote needs a theme. The MC needs the order. Neither should wait until the invitations have gone out.
Can the MC also moderate the panel?
Sometimes, on a short programme. Say if you need one person for both. A long plenary is usually clearer with the roles split.
Do we need a booth at Jakarta Convention Center?
For simultaneous interpretation in the hall, yes, or a quiet position the venue can actually support. Consecutive meetings do not need one.
Are speaker fees on the profile?
No. Fees are on request and depend on the date, the length of the talk and the brief.
