Hosting Events at Bali Beach Convention, Sanur

An empty teak briefing table at dusk, with no people seated

Planning an event at Bali Beach Convention in Sanur? Here is how to plan the hosting, speakers and interpretation. Speakers Indonesia is not connected to the venue. These notes do not describe a job we have done in the building, and they do not claim a special arrangement with it. Book the space with the venue. Ask us when you know the date, the languages and what has to happen on stage.

Sanur programmes often mix a welcome, a seated conference and an evening that feels more like a hotel event than a congress hall. The MC has to change temperature without losing the clock. Write where the audience is standing, where they sit, and who tells them to move. If any part is outdoors, say so. Wind, a late start and a walk from one space to another all eat the run of show.

Groups staying along the Sanur strip still need transfers. A speaker in a hotel a short ride away is not in the room until the car is confirmed. If delegates are coming from Nusa Dua or the airport, give them a buffer and do not schedule a tight keynote as the first item after an arrival wave. Call time for the MC and speakers should be at the convention entrance, not "sometime after breakfast".

Rehearsal is the difference between a smooth handoff and a host reading a PDF they saw that morning. Ask for a slot before doors. Walk the MC through names, titles and the order of thanks. If interpretation is required, the interpreters need the same slot, plus slides and a glossary. Fees are on request and follow the brief, not a printed rate.

Plan the people on stage

MC

Choose the language the instructions will use. Many Sanur incentives want English for the welcome and Bahasa Indonesia for local guests, or the reverse. Say which segments switch. One bilingual host can do that. They should not also be asked to interpret a full keynote.

Speakers

Tell us the theme, the audience and what people should leave with. We shortlist speaker roles. Candidate details stay private until we match them to your date.

Moderator

A panel in a side room needs its own moderator. Give them the questions, the timing and the names. The plenary MC should not be expected to appear in that room at the same minute.

Interpreters

Use consecutive interpretation for a small meeting or a short remark. Use simultaneous when the speeches must keep moving. Ask the venue's AV team what the room can support: a booth, a table console, or receivers. We match the interpreter team. We do not assume the building's equipment.

Planning checklist

  • Map the guest path from arrival to the first seated session.
  • Note any outdoor segment and who cues the move inside.
  • Set call times and Sanur hotel transfers for speakers.
  • Add a buffer for arrivals from Nusa Dua or the airport.
  • Book rehearsal and send names, slides and language split.
  • Request the MC, speakers and interpreters in one brief.

Roles for Bali events

These are roles based in Bali, not a crew assigned to the building. Fee: On request.

Questions

Is this arranged through the venue?

No. The venue hire is yours. The people on stage are requested through Speakers Indonesia.

Do speakers need a transfer in Sanur?

Plan one whenever they are not already in the building. A short ride still needs a car and a call time.

How are fees quoted?

On request, once we have the date, hours, languages and format.
