Conference Hosting at Nusa Dua Resort Hotels

An empty outdoor briefing table at dusk in Bali, with no guests

Planning conference hosting at a Nusa Dua resort hotel? Here is how to plan the MC, speakers and interpretation. This is not one hall and not one hotel brand. Organisers use several resorts in the same area for incentive groups: a daytime meeting, a beach or garden welcome, then a gala. Speakers Indonesia does not represent those hotels. We match the people. The hotel's event team and AV desk remain yours to brief.

The hard part is the join between formats. A host who opens a ballroom session may be the wrong energy for a barefoot welcome, and the reverse is also true. Say if you want one person for both, or a day MC and an evening host. Give them the walk from the beach or garden back to the ballroom, including who holds the group if the path is slow. Outdoor sound is the hotel's question. Ask their AV team what they will allow and where the power sits.

Speakers who sleep in a different Nusa Dua hotel still need a transfer. Buggies and cars inside a resort do not automatically cross to the next property. Put the pickup on the run of show. If the keynote follows a leisure morning, protect the start time. A hosted introduction can cover a late arrival. A silent gap cannot.

Gala dinners in these hotels fail when the awards script, the band and the MC each have a different clock. One run of show should list the entrée speech, the first award, the entertainment handoff and the close. Read more on how a gala MC works in the linked note. Rehearse the award names. Fees for the host, speakers and any interpreters are on request.

Plan the people on stage

MC

Specify ballroom, garden or both. Languages next: English, Bahasa Indonesia, or a switch between them. A trilingual host is a separate role if Mandarin is actually in the script, not a guess.

Speakers

Incentive keynotes are short and have to sit beside leisure time. Tell us the slot length and the point of the talk. We match a speaker role. We do not invent a name for the invitation.

Moderator

A leadership circle or a small panel in a boardroom needs a moderator, not the gala host. Say if that session is the same day.

Interpreters

Hotel ballrooms are not all built for a full booth. Ask the hotel AV team before you promise simultaneous interpretation to a client. Consecutive can be enough for a board dinner or a site briefing. We match the interpreter to the format you confirm.

Planning checklist

  • Name the hotel and which spaces are live: ballroom, garden, beach.
  • Decide one host or a day MC plus a gala host.
  • Put transfers between resorts on the run of show.
  • Ask hotel AV about microphones and whether a booth fits.
  • Lock award names and entertainment cues before rehearsal.
  • Send one brief for the people. Fees are on request.

Roles for Bali events

These are roles based in Bali, not a crew assigned to the building. Fee: On request.

Questions

Do you book the hotel?

No. We do not sell rooms or represent the resorts. We match hosts, speakers, moderators and interpreters.

Can the same MC run the meeting and the gala?

Yes, if you want that and the hours allow it. Say so in the brief. Otherwise we propose two roles.

What will it cost?

Fees are on request and depend on the date, hours, languages and whether the evening is a separate call.
