Speakers, MCs & Interpreters for ICE BSD Events

An empty conference ballroom with a single microphone and no people

Planning a conference or exhibition at ICE BSD? Here is how to plan the hosting, speakers and interpretation. Speakers Indonesia does not represent the venue and has no arrangement to imply. BSD is not central Jakarta. The people plan has to respect the drive, the number of live halls, and whether the day is a congress, a trade show, or both. Book the building with the venue. Book the voices with us.

Put a traffic buffer in the run of show for anyone starting in Jakarta, and another thought for airport arrivals. Do not use a single "normal" journey time. Roads change, and a keynote that starts when the car hopes to arrive will slip. Call speakers to a named hall entrance earlier than the cue. The MC should already be in rehearsal, not in the same car.

Multi-hall programmes are the other trap. A trade show can run a stage while a conference runs next door. Those are different hosts. If papers are in two languages, the conference room may need interpreters and the show floor may only need a bilingual host for short links. Write that split down so you do not pay for a booth you will not use, or skip one you cannot run without.

Ask the venue's AV team what your halls include before you promise delegates a receiver. Booths, headsets and a technician are a venue or AV question. Interpreter pairs are ours to match once the format is clear. Rehearsal should include the first language switch and the first panel stop. Send slides and names ahead of that call. Fees are on request and depend on days, rooms and language pairs.

Plan the people on stage

MC

One conference MC for the delegate programme. A separate stage host if the exhibition floor has its own clock. Say whether the language is Bahasa Indonesia, English, or both, and which one gives instructions.

Speakers

Match speakers to the session goal and the slot length. Tell us if they are flying in and what time they can realistically be at BSD. We confirm availability against your call time.

Moderator

Each panel needs a moderator with the questions in advance. Overlapping panels need one moderator each. The MC introduces the block and should be free to return to the plenary.

Interpreters

Choose simultaneous for speeches that cannot pause, consecutive for meetings that can. Simultaneous teams work in pairs. Ask the venue AV team about the booth and receivers for that hall. We do not assume they are in the room hire.

Planning checklist

  • Name the halls and which ones have a live microphone at the same time.
  • Add a traffic buffer from Jakarta and a separate note for airport arrivals.
  • Split exhibition hosting from conference hosting.
  • Decide simultaneous or consecutive before you brief interpreters.
  • Ask the venue AV team about booths and receivers.
  • Send the rundown and request the roles. Fees are on request.

Roles for Jakarta events

These are roles based in Jakarta, not a crew assigned to the building. Fee: On request.

Questions

Do you work for the venue?

No. We are not part of the venue's team. Organisers request talent through us and contract the halls themselves.

Is BSD close enough to ignore traffic?

No. Build a buffer into call times. We will not pretend the drive is fixed.

How do you price interpreters and MCs?

On request. The proposal follows the date, the hours, the rooms and the languages.
